FAQ about the KIT-Card exchange procedure

Why do I need to exchange my KIT-Card?

The KIT-Card can be used for many electronic services. The RFID technology does not meet the security requirements anymore. That is why we replace the old RFID cards by new ones. The first step is updating all the IT-systems needed in the background. The second step is the card exchange.

Will my current KIT-Card lose its validity?

The validity date is indicated on the card. Until that date, the KIT-Card will be accepted as employee or student ID card. Nevertheless, the old cards will be accepted for electronic services for a limited time only. When the old RFID technology will not be supported anymore by the IT systems, your card will not work any longer. Starting in August 2018, the cashless payment service will only accept new cards (exceptions might be made on request– please contact the Studierendenwerk Karlsruhe).

Do the functions of the KIT card, such as access or library card, remain intact?

Yes, the entrances at KIT are automatically transferred to the new KIT ​​card, as well as the use as a library card at the KIT-Library. Please note, however, that your KIT-Library ID changes due to the new KIT ​​card. It corresponds to the number printed on the top right of the KIT card.

After you have picked up your new card, not all functions are activated at once.  Most functions are active after a few minutes. The exception is time recording. Here the activation can take up to one hour.

If you also use the card as a library Card at the Badische Landesbibliothek or the Stadtbibliothek Karlsruhe, please address on site to register the new KIT-Card.

What do I have to consider regarding the activated access?

If you use your card to open doors where the card reader was installed directly in the door lock (so-called offline locks), you say this when picking up the card. For technical reasons, you must temporarily keep your old card and continue to use it to open these and only those doors.

If the reader is installed next to the door (and not in the door), the accesses are automatically transferred from the old to the new card. This also applies to the access to Campus South.

Why can’t I use my current photograph for the new card?

The old photos were not stored after card production. With the new uploading function in the Self Service Portal “My SCC” (https://my.scc.kit.edu/shib/kitcard.php), the process changed. You can now upload your photograph and decide whether you want to keep the photo after card production or not.

What is the procedure for the card exchange?

The first step towards your new KIT-Card is uploading a photo in the Self Service Portal “My SCC” (https://my.scc.kit.edu/shib/kitcard.php). You need to select whether you want to collect your card on Campus North or Campus South. When your card will have been produced and ready for collection, you will receive a notification by e-mail. Information about the collection locations will be given in the mail. Please also bring along your old card.

Can I authorize someone to collect my new card?

No, you have to pick up your new card in person. The access regulations to Campus North require personal identification. Since the cards of all KIT staff members allow access to the CN, no exception can be made here. If you work at a KIT campus other than CN or CS, please contact the CN registration.

For students, personal identification is also required, even if the student card per se is not sufficient for access to the CN. You will also need an access card, which you can obtainat the registry desk at the CN.

My contract ends in 2018. Do I have to exchange my KIT-Card?

No, in that case it is not necessary to exchange the card.

My KIT-Card will lose validity later in 2018. Should I still exchange the card?

If the validity is not limited by your contract, you can exchange the cards now. The new card will then be valid for five more years.

For how long will the new card be valid?

If not limited by your contract duration, your KIT-Card will be valid for five years.

I work at a campus other than Campus North or Campus South, how do I get my new KIT-Card?

When working at a campus other than Campus North or Campus South, we will send your new KIT-Card to your location. But please select Campus North as collection location. The staff at the registration desk of Campus North will send it to you.

What do I have to keep in mind when uploading a photograph?

The photograph should have a minimum resolution of 260 x 346 pixels. When you scan a photograph, the scan should have a minimum resolution of 600 dpi. The photo size should be at a 3x4 ratio.

What do I have to do to get my new KIT-Card?

The first step towards your new KIT-Card is to upload your photograph in the Self Service Portal “My SCC” (https://my.scc.kit.edu/shib/kitcard.php). Then the KIT-Card team will do the work and you can relax. When your card is ready for collection, you will receive an e-mail.

I still have credit on my KIT-Card. What happens with the card balance when getting a new KIT-Card?

Your credit will be transferred to your new card when picking it up. That’s one of the reasons why you need to bring your old card.

I am registered for the Autoload cashless payment. Does it still work with the new card?

The Autoload function will still be available in general. Nevertheless, you will need to register your card again in one of the canteens at KIT.

Does the photograph need to be a biometric passport photo?

No, it does not have to be a biometric passport photo. It is only required that it shows you and no other persons and it has to meet certain quality requirements. Those will be checked when uploading the photo in the Self Service Portal.

Can I get a new KIT-Card without uploading a photograph?

Probably as from mid April, you can get a new card at the registration desks on Campus North and Campus South. When you have not uploaded a photograph, the staff at the registration desk will take a photo that will be used for card production. But please keep in mind that the entire process will take much longer than uploading a photo in the Self Service Portal “My SCC” (https://my.scc.kit.edu/shib/kitcard.php).

Can I keep my old KIT-Card?

No, when collecting your new KIT-Card you have to return the old one. Every employee and every student may have one KIT-Card only.
